Connecting Airbnb to your PMS, two-way

About 20 minutes · you need your Airbnb host account and an activated sync licence

The Airbnb ↔ your PMS bridge keeps availability, rates and reservations mirrored in both directions. This guide covers the initial mapping and the first full sync.

Step 1 — Activate and authorise

Add the sync module via the catalogue and complete checkout. During activation you authorise the bridge against your Airbnb host account — Airbnb issues a token scoped to listings you select, and we store that token, never your Airbnb password.

Step 2 — Map listings to room types

For each Airbnb listing, choose your PMS room type it represents. Where one listing covers several physical rooms, map it to the corresponding room type and let quantity handle the pool. Where a listing is genuinely unique (a cottage, a family suite), give it a dedicated room type in your PMS first — the sync cannot subdivide a room type.

Step 3 — Choose sync direction per data type

The bridge syncs three data types, each direction configurable: availability (we recommend your PMS → Airbnb so your diary stays master), rates (your PMS → Airbnb, with a markup rule if you want Airbnb’s fee covered), and reservations (Airbnb → your PMS, written with the Airbnb confirmation code in the notes field).

Step 4 — Run the first full sync

Trigger a full sync from the client area. The bridge compares both sides, builds a delta report and shows it to you before writing anything. Read the report: it lists every date where the two sides disagreed and which side won (per your direction rules). Approve, and the delta is applied with conflict resolution that prevents double bookings even if a push fails mid-way.

Step 5 — Verify a live reservation

Ask a colleague to make a real Airbnb enquiry for a distant date (or use Airbnb’s host calendar tools to simulate one) and watch it land in your PMS within minutes with the correct dates, guest count and payout mapping. Then modify the stay in your PMS and confirm the change propagates back to Airbnb’s calendar.

Ongoing housekeeping

The bridge emails a weekly digest: bookings synced, price changes applied and any manual Airbnb calendar edits it had to reconcile ( Airbnb lets hosts block dates by hand; the bridge logs each one). Once a month, spot-check one listing against your PMS — five minutes that catches mapping drift early.

If a reservation does not appear

Check the token is still valid (Airbnb tokens expire and are re-authorised from the client area), the listing is still mapped, and the reservation is confirmed rather than merely an enquiry. Our support desk can trace any specific confirmation code through the sync log.
